What Film Tools knows about you, why, and what you can do about it.
Who We Are

The Parts of Film Tools
Film Tools is made up of three separate parts: the public website, the tools you use, and the service that handles sign-in.
They use separate systems and collect different information, so we explain each one separately below.

The public website cannot see the work inside your Film Tools account, and the tools do not receive information you submit through the website forms.
Sending a tool request, asking for early access or asking to be notified about a coming-soon tool does not automatically create an account. An account is created only when we set one up for you.
Film Tools is designed as a growing collection of tools for different parts of film production. New tools will be added over time. Storyboard is currently available in early access. Other tools, including Time Sheet, may appear on the website before they are available to use.
We will update this privacy policy before a new tool starts collecting or processing information in a way that is not already described here.
The Short Version
- If you are only reading film-tools.com, we do not collect anything about you beyond what is technically necessary to deliver the website. There are no advertising trackers and no analytics cookies.
- If you send us a tool request, ask for early access or ask to hear when a coming-soon tool is ready, we keep the information you entered into that form.
- If you ask to hear when a coming-soon tool is ready, we use your email address for that purpose. We do not add you to a general marketing list unless you separately choose to join one.
- If you have an account, we hold your name and email address to run it, together with the work you and your team put into the tools you use.
- If you open a Storyboard share link, you can look at the board without an account and we store nothing about you.
- We do not sell personal data and we do not use it for advertising.
Part A: The Website, film-tools.com
Unlabelled SL is the data controller for everything in this part.
Visitors
The website sets no cookies and stores nothing in your browser. Its fonts and images are served from our own site, so loading a page does not contact any third party for those resources.
Like every website, the servers that deliver these pages process your IP address and basic details of each request in order to deliver the page and protect the site from abuse.
Those servers are operated for us by Cloudflare.
We keep no log of individual visits ourselves. We see only totals, such as how many requests the site received.
Tool Requests, Early Access and Coming-Soon Notifications
When you send one of the forms on the website, we store the information you enter.
- A tool request: the tool or feature you would like us to build and your description of it, plus any optional information you choose to provide, such as the production stage, your role and your email address.
- An early-access request: your email address, the tool you are interested in and, where provided, your name, role, company or production and your message.
- A coming-soon notification: your email address and the tool you asked us to tell you about.
We use this information to understand what filmmakers need, decide what to build, reply to you and, where appropriate, arrange access to a tool.
If you ask us to tell you when a coming-soon tool is ready, we will use your email address to send you that notification. We will not use that request to add you to a general marketing mailing list.
Your IP address is used briefly to limit automated submissions and is not stored with your request.
So that we notice your request and can answer it, a copy is sent by email to our own mailbox when you submit the form.
Legal basis: our legitimate interest in developing Film Tools and responding to people who contact us. Where you ask for early access, we may also process the information in order to take steps at your request before entering into a contract.
Part B: The Tools, app.film-tools.com
This part applies when you use one of the Film Tools products, either with an account or through a share link.
Storyboard is currently available in early access.
Other tools may be shown on the public website while they are still being developed. Until a tool becomes available to use, asking for access or requesting a notification about it is handled under Part A above.
The account information described below applies to Film Tools generally.
The project information, comments, history and share-link functionality described below relate specifically to Storyboard as it works today.
Before another Film Tools product becomes available, we will update this page if that product processes personal data differently.
Our Role, and the Role of Whoever Runs the Project
For your Film Tools account, meaning your name, email address, sign-in and memberships, Unlabelled SL is the data controller.
For the material inside a Storyboard project, meaning the frames, text and comments, the company or person who runs the project decides what goes in and who is given access.
Where that material contains personal data, for example a person visible in a frame or a name in a note, we handle it on their behalf and only in order to provide the tool.
We do not look through project material for our own purposes, and we do not use it to train anything.

What an Account Holds
- Your name and email address
- Your job title, if you or a project administrator entered one
- The projects you belong to and your level in each
- Session information needed to keep you signed in
The access levels currently used in Storyboard are admin, collaborator, commenter and viewer.
What Storyboard Holds
A Storyboard project can contain:
- Projects, boards and folders, and their names
- The frames you upload, including each file's original name and a smaller working copy
- The titles, descriptions, tags and labels you give them
- Comments, including the name of the person who wrote each comment
- A history of changes recording who changed what and when, so that a team can follow what happened to a board
- Share links, including when each link was created, who created it, when it expires and whether it has a password
Link addresses and passwords are stored only as a fingerprint, so we cannot read them back.
PDF and image exports are produced in your own browser. We do not keep a copy of them.
Who Can See It
- Other members of a project can see your name, job title and email address, your comments and your entries in the project's history. What they can change depends on their access level.
- People who open a share link can see the board itself in read-only form. They do not see the list of project members, comments or change history.
- We can access project data when that is necessary to keep the service running or to help you at your request.
If You Open a Share Link
You do not need an account.
The tool sets no cookie for you and stores nothing about you: not your name, not your IP address and no record that you opened the link.
If the link is password protected, the password you type is checked but not kept.
As with the public website, Cloudflare processes your IP address in order to deliver the page.
Every share link has an expiry date, between one day and one year after it was created, and can be switched off earlier by the project's team.
If Someone Else Added You
A project administrator can add you to a project by entering your name and email address.
In that case, we received those details from them rather than directly from you.
They are used only to give you access to that project.
Cookies and Browser Storage in the Tools
The tools use only what is strictly necessary to sign you in and keep you signed in, so there is no cookie banner.
At present Storyboard uses:
sb_session, which keeps you signed in for up to 14 days or until you sign outsb_pkce, which exists for at most ten minutes while you are signing in
Your preferences, such as light or dark appearance, panel sizes, the sort order of your boards and which fields are shown, are stored in your browser's own storage.
They stay on your device and are never sent to us.
Legal basis: performance of the contract between you, or your company, and us. We cannot provide an account without this information.
For the history of changes, we also rely on our legitimate interest and the project team's legitimate interest in being able to follow who changed a shared document.
Part C: Signing In
Signing in is handled by an identity service that we operate ourselves using Keycloak.
It is separate from the individual tools. A tool never sees your password. It only learns from the identity service who you are.
- What it holds: your name, email address and password. Your password is stored only in a scrambled form that cannot be read back by us or anyone else.
- How accounts are created: by us, after you ask for access or a project administrator adds you. Nobody can sign themselves up.
- Cookies: the identity service sets cookies on its own address to recognise that you are signed in and, if you choose "Remember me", to remember your sign-in. These cookies are strictly necessary and are not used for anything else.
- Where you will see it: while you sign in, the address bar shows login.film-tools.com instead of the address of the tool you are opening. This is expected.
Unlabelled SL is the data controller for this part.

The public website and the current tools use separate databases. The website cannot read the contents of your Film Tools projects.
Cloudflare, Google and Neon are based in the United States. Where personal data leaves the European Economic Area, the transfer relies on the EU–US Data Privacy Framework and/or Standard Contractual Clauses.
There is currently no payment provider because nothing is charged during early access. We will update this page before that changes.
How Long We Keep It
- Tool requests, early-access requests and coming-soon notifications are kept while we are dealing with them and are deleted automatically no later than two years after we receive them. For a coming-soon notification, we may delete your address earlier once we have sent the notification and no longer need it. The email copy in our mailbox is deleted once the request has been dealt with and within the same two-year period at the latest.
- Account data is kept for as long as your account is active.
- Work in Storyboard is kept for as long as the project exists. Removing something inside the tool takes it out of the project. To have a project, a frame or your account erased completely, including stored files, write to us and we will do it within one month.
- Sign-in sessions end after 14 days, or when you sign out.
- Share links stop working on the expiry date selected when they were created.
Your Rights
Under the GDPR you have the right to:
- Access the personal data we hold about you
- Rectify inaccurate data
- Erase your data
- Restrict or object to processing
- Port your data to another provider
- Complain to a supervisory authority. In Spain, that is the Agencia Española de Protección de Datos.
To exercise any of these rights, email privacy@film-tools.com.
If your request concerns material inside a project run by somebody else, for example a frame in which you appear, the decision belongs to whoever runs that project.
We will pass your request to them and help them act on it.
Data Protection Officer
Given the scale of our processing, we are not required to appoint a Data Protection Officer under Article 37 GDPR.

Children
Film Tools is not directed at children, and we do not knowingly collect personal data from anyone under 16.
Changes to This Page
As Film Tools grows, this policy will be updated when new tools introduce new ways of collecting or processing personal data.
If this policy changes materially, we will update the effective date above and, where we reasonably can, tell account holders directly.
